Exchange Server 2003

Now it is easier than ever to host your own email. We have installed Microsoft Exchange server 2003 for companies ranging from 4 employees up to 60 employees. Most internet service providers (ISP's) will offer to host your web site and email for your domain with their services. But as spam and spam filtering become more necessary, the ISP's are tightening security on their mail servers. These companies will host thousands of domains on their servers, so they are much bigger targets for spam and relay mail than an average single company. Exchange does include a spam filter for your protection. So you can still be protected without having all of the errors and problems that you get when dealing with a larger hosting company or ISP.

The benefits of Exchange are numerous. Not only can email problems be handled inside of your own walls, you will end up having fewer problems to begin with. You have total control over the server and it's setup. Instead of connecting through a pop3 connection like you get from a hosting company, you can connect Outlook through an Exchange connection. This means that instead of downloading all of your email messages to a pst file, Outlook synchronizes with exchange using an ost file. All of your messages are still stored on the server, so every mailbox gets backed up every night with the rest of your server data. Normal webmail will only show you the messages that you have not downloaded into outlook yet, but Exchange gives you Outlook Web Access 2003. So you see every message, calendar event, task, and contact from your normal Outlook over the web. They even made the interface look exactly like Outlook 2003. Since everything is stored on the server, everything is available through webmail. So you can get everything you need from anywhere on the road.

You even get access to pulic folders through Outlook and OWA. Public folders can be setup to store mail and post items, calendar items, task lists, or contact lists. Think about having to call the receptioninst to schedule a meeting in the conference room for tuesday at 1 pm. Instead of having her check the availablility and call all of the people needed in the meeting, then get back to you with their availability, you can do it all through a public folder. Just create a public folder called "Conference Room" to hold calendar events. Then, create your meeting on the calendar. If someone else needs the conference room at that time, they will see that you have already booked it or vice versa. Give your appointment a name and a description, and you can invite other people to the meeting using the "Attendees" button. Then, whoever you invite will get an invitiation by email, and they can accept or decline the meeting based on their availability. This basic process takes inter-office communication to a whole new level.
